Dance Break Booking Terms & Conditions
Last updated: October 2026
These terms apply to dance breaks and dance weekends organised and sold by Learn To Dance. They should be read together with the information provided for the individual break at the time of booking.
By making a booking, you confirm that you have read and agree to these terms.
1. Your Booking
A booking is confirmed when the required payment has been received by Learn To Dance and you have received confirmation of your booking.
Unless specifically stated otherwise, dance breaks are payable in full at the time of booking.
The person making the booking is responsible for ensuring that all information supplied is accurate.
Where a booking is made on behalf of another person, the person making the booking is responsible for ensuring that the other traveller is aware of these terms and all relevant information relating to the break.
Prices and arrangements applicable to each break will be shown before booking.
2. Early Booking Offers
Some dance breaks may be offered at a reduced Early Booking price.
Where an Early Booking offer applies, the discounted price and deadline will be stated on the relevant event page and booking system.
The booking must be made and paid in full by the stated deadline to qualify for the Early Booking price.
After that date, the standard price will apply.
Unless specifically stated otherwise, Early Booking reservations are subject to the same cancellation terms as bookings made at the standard price.
Where cancellation charges are calculated as a percentage, they will be calculated using the amount actually paid for the booking.
3. What Your Break Includes
The accommodation, meals, dance programme and other services included in your booking will be shown on the relevant event page.
Unless specifically stated otherwise, travel to and from the hotel, lunches, drinks, personal expenditure and optional activities are not included.
Published programmes and itineraries are intended as a guide and reasonable changes may occasionally be necessary.
4. Rooms and Occupancy
Prices are based on the room type and occupancy selected at the time of booking.
Double and twin room prices are normally based on two people sharing.
Where single rooms are offered, availability may be limited and a supplement may apply unless the relevant booking option specifically states otherwise.
Customers wishing to book a single room must select the appropriate single-room booking option.
If a single-room option is not available online, please contact Learn To Dance before making a different booking.
If one person in a shared-room booking subsequently cancels, this may affect the accommodation arrangements or price for the remaining guest.
Any additional cost arising from a change in room occupancy will be discussed with the affected guest before being applied.
Requests for particular rooms, locations within the hotel or other room features cannot be guaranteed unless specifically confirmed.
5. Cancellation by You
If you need to cancel your booking, please notify Learn To Dance in writing as soon as possible.
Cancellation charges vary between dance breaks because hotels and other suppliers may impose different cancellation terms.
The cancellation schedule applying to your booking will be clearly stated on the relevant dance-break event page and booking information before you make your booking.
Cancellation charges are intended to reflect the costs and losses that Learn To Dance is likely to incur as a result of the cancellation.
Where we are able to resell your place, obtain a refund or reduction from a supplier, or otherwise reduce our loss, this will be taken into account when calculating the final cancellation charge.
You may ask us to explain how a cancellation charge has been calculated.
In the event of non-attendance without prior cancellation, up to 100% of the booking price may be payable where we remain liable for the associated costs.
6. Transferring Your Booking
If you are unable to attend, you may contact us about transferring your booking to another suitable person.
Please give us as much notice as reasonably possible.
The replacement guest must accept these booking terms and meet any requirements applying to the original booking.
We may charge any genuine and reasonable additional costs incurred in making the transfer, including charges imposed by the hotel or another supplier.
A change from double or twin occupancy to single occupancy, or vice versa, may also affect the accommodation cost or availability.
7. Reselling a Cancelled Place
Where you cancel and we subsequently resell all or part of your booking, we will take the amount recovered into account when calculating our loss.
This does not necessarily mean that the entire cancellation charge will be refunded, as we may still have incurred administration costs, supplier charges, price reductions required to resell the place or other genuine losses.
We will not seek to recover the same loss twice.
8. Cancellation by Learn To Dance
Very rarely, Learn To Dance may need to cancel a dance break.
Where a minimum number of guests is required for a particular break, this will be stated in the information provided before booking.
If we cancel a break, we will notify affected guests as soon as reasonably possible.
Where Learn To Dance cancels the break and is unable to provide an appropriate alternative, payments received for services that will not be provided will be refunded.
9. Circumstances Outside Our Control
Events outside our reasonable control can sometimes affect a dance break.
These may include serious adverse weather, significant transport disruption, natural disasters, serious public-health incidents, industrial action, closure or unavailability of a venue, or other circumstances that could not reasonably have been avoided.
Where such circumstances affect a break, we will contact affected guests as soon as reasonably possible and explain any changes, alternatives or refunds that are available.
Nothing in this section affects any rights you may have under applicable consumer law.
10. Travel Insurance
We strongly recommend that all guests obtain appropriate travel insurance from the time of booking.
Your insurance should provide suitable cover for circumstances that may prevent you attending, including illness or injury where appropriate.
Choosing not to obtain travel insurance does not alter the cancellation terms applying to your booking.
11. Dietary Requirements, Allergies and Special Requests
Please tell us about dietary requirements, food allergies, accessibility requirements or other important needs as early as possible.
This applies even if you have previously provided the information for another Learn To Dance event.
We will pass relevant information to the hotel or other supplier and make reasonable efforts to accommodate requests.
Unless specifically confirmed, requests cannot be guaranteed.
If you have a serious food allergy or medical dietary requirement, you should also discuss your requirements with the hotel or catering staff as appropriate during your stay.
12. Health, Mobility and Suitability
Our dance breaks normally include dance workshops and social dancing, but participation in individual dance activities is optional.
Please consider whether the programme and venue are suitable for your personal requirements before booking.
If you have mobility or accessibility requirements that could affect your stay or participation, please contact us before booking so that we can provide available information and discuss your requirements with the hotel where appropriate.
Nothing in these terms excludes or limits any liability which cannot legally be excluded or limited.
13. Behaviour
Guests are expected to behave reasonably and respectfully towards other guests, Learn To Dance staff, hotel employees and other users of the venue.
We reserve the right to take reasonable action where someone's behaviour is seriously disruptive, threatening, abusive, unsafe or causes damage to property.
In serious circumstances, this may include requiring a guest to stop participating in an activity or leave the event or venue.
Any additional costs arising from such behaviour may be the responsibility of the guest concerned where legally appropriate.
Guests may also be responsible for loss or damage that they deliberately or negligently cause.
14. Changes to the Programme
Dance teachers, workshop content, entertainment, themes and timings may occasionally change for operational reasons.
Minor changes will not normally entitle guests to cancel without the normal cancellation terms applying.
If a change materially alters a significant part of what you booked, we will contact affected guests as soon as reasonably possible and explain the available options.
15. Our Responsibility
Learn To Dance will provide the services included in your booking with reasonable care and skill.
Some elements of a dance break, including accommodation, catering and other hotel services, are provided by third-party suppliers.
Nothing in these terms is intended to exclude or restrict your statutory rights or to exclude or limit liability where it would be unlawful to do so.
16. Problems During Your Stay
If you experience a problem with your accommodation, meals, dance programme or another part of the break, please tell Learn To Dance as soon as reasonably possible.
Where appropriate, please also notify the hotel so that there is an opportunity to resolve the issue during your stay.
If the matter cannot be resolved at the time, please contact us after the event with details of your concern.
We will investigate complaints fairly and respond within a reasonable period.
17. Information Provided to Hotels and Suppliers
We may need to provide the hotel or another supplier with information reasonably necessary to provide your booking.
This may include your name, rooming arrangements, dietary requirements or accessibility requirements.
Personal information will be handled in accordance with our Privacy Policy.
